Kinetica Physiotherapy is committed to providing quality services to you and this policy outlines our ongoing obligations to you with respect to how we manage your Personal Information.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include: names, addresses, email addresses, phone and facsimile numbers.

  • You can elect to provide as much or as little information as you choose although the Kinetica Physiotherapy website requires a minimum set of information to provide access to their site. What you provide is your choice.

  • As part of the normal operation of this site, your internet browser will be sent a “cookie” (a temporary internet file). This cookie enhances the site’s functionality with features such as browsing pages and contact through the contact us page. By itself, this cookie can only identify your computer to Kinetica Physiotherapy’s server; it is not used to identify you personally.

We collect your Personal Information inside the clinic for the primary purpose of:

  • as a way of providing information to you
  • marketing about the clinic’s services such as changes to opening hours or new services provided by the clinic..

All personal information collected by Kinetica Physiotherapy, including name, address and contact details, are considered to be health information, and as such are considered to be “sensitive”.

Therefore, only information that is necessary for high quality healthcare will be collected inside the clinic for the purposes of medico-legal documentation and for your safety. It is your right to refuse to answer any questions that may be asked, however this may place some limitations upon the types of treatment that can be offered (due to safety). On the website data is collected to allow Kinetica Physiotherapy to better be able to provide you the option of knowing about our services, accessing our educational materials and making enquiries.

The acquisition of personal information also allows us to inform you regarding the availability of certain services that Kinetica Physiotherapy is offering at any given time. This includes:

Provide information to consumers and others on the availability of physiotherapy services;

  • Conducting market research in order to identify and analyse the ongoing needs of Kinetica Physiotherapy website users
  • Providing you with Kinetica Physiotherapy’s publications in the form of newsletters via email. You will only receive these emails if you have consented

All medical and personal information will be kept in a secure location and will be only accessed by clinic staff involved in your care.

Occasionally times do arise where as a client of Kinetica Physiotherapy, it is necessary to liaise with other health professionals (such as your doctor). In these cases the clinic will seek express permission prior to any liaison. Any electronic media such as photographs are expressly used for coaching and feedback purposes only. They are provided to you to improve the quality of your clinical care. Any use of electronic media such as photographs will require a specific release that outline the limitations for use and the agreement between you and Kinetica Physiotherapy. This permission may be changed at any time by writing to us.

Our newsletter is an opt-in only option on the website and again on the clinic registration form. If you do not indicate your preference, you will not be included. You are able to un-subscribe at any time with communication in writing.

Sensitive Information

Sensitive information is defined in the Privacy Act to include information an individual’s racial or ethnic origin and health information.

Sensitive information will be used by us only:

  • For the primary purpose for which it was obtained
  • With your consent; or where required or authorised by law.

On this website, you can choose to submit your initial client form directly to us. This is designed as a time saving measure. It remains standard practice that clients of the clinic will fill this out in person at the clinic, immediately before their appointment. This information, considered to be sensitive health information, is not provided to any third party. It is stored on the health database of the clinic.

Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties – such as your GP sending a letter directly to the clinic. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances including the following:

  • Third parties where you consent to the use or disclosure; and
  • Where required or authorised by law.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years. In the case of health related information relating to children or young adults under the age of 18, the client file and information will be stored for a further 7 years after the client turns 18.

Access to your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

Kinetica Physiotherapy will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require proof of identification and a written request from you before releasing the requested information.

Our Commitment to you

Your information is stored on the Kinetica Physiotherapy server located in a secure data housing facility. While, it is important to recognise that “perfect security” does not exist on the internet, Kinetica Physiotherapy is committed to using industry standard mechanisms to safeguard the confidentiality of your personal information such as firewalls and Secure Socket Layers.

Credit Card Information

The Kinetica Physiotherapy does not permanently store credit card information anywhere on this website.

Maintaining the Quality of your Personal Information

It is an important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
